A good consumer complaint letter does three jobs. It tells the company exactly what went wrong, it states what you want, and it creates a dated record you can show a Consumer Commission later. Most people write angry letters that do none of these. This guide gives you the format and a sample you can adapt.

Why the letter matters

A Commission will usually want to know whether you gave the company a chance to fix the problem before filing. A clear letter, sent in a way you can prove, answers that. It also forces you to get your facts in order, which makes every later step easier, including the legal notice and the complaint itself.

What to include in a consumer complaint letter

Keep it to one page. Cover these points in order:

  • Your details. Name, address, phone number and email.
  • The company's details. Name and the address of the grievance or customer care office. Use the grievance officer if one is named.
  • The transaction. What you bought or booked, the date, the order or invoice number and the amount paid.
  • What went wrong. State the facts in date order. Avoid opinions and adjectives.
  • What you want. A refund, a repair, a replacement or compensation, with the exact amount.
  • A deadline. Fifteen days is common.
  • What you will do next. Say you will approach the Consumer Commission if the matter is not resolved.
  • Attachments. List the documents you enclose.

A sample you can copy

To the Grievance Officer, [Company name], [Address]

Subject: Complaint about order [number] dated [date]

I bought [product or service] from you on [date] for ₹[amount], paid by [method]. [Two or three sentences describing the problem and the dates.]

I contacted your customer care on [date] and was told [what they said]. The problem has not been resolved.

I request that you [refund ₹ amount / replace the product / repair it] within 15 days of receiving this letter. If you do not, I will approach the Consumer Disputes Redressal Commission under the Consumer Protection Act, 2019.

Enclosed: invoice, payment proof, screenshots of our messages.

[Your name, phone, email, date]

Replace the brackets with your own facts and leave nothing in brackets when you send it.

How to send it so you can prove it

Email it and keep the sent copy. For a bigger dispute, also send it by registered post or speed post with acknowledgement. Online platforms must have a grievance officer, and under the E-Commerce Rules 2020 they must acknowledge your complaint within 48 hours and redress it within one month. Mention the date you sent the letter in every later message.

Using AI to draft the letter

AI tools can produce a tidy letter in seconds, and that is useful. The risk is that they can invent or misplace figures such as dates, invoice numbers and amounts. Read every number against your own documents before you send. Jagrik AI works from the facts you give it, calculates dates and deadlines in code instead of guessing them, and asks you to approve each step before anything is sent.

If they ignore the letter

Wait out the deadline you gave. Then send a legal notice and, if that fails, file on the e-Jagriti portal. Read how to file after the notice for the portal steps, and check the consumer complaint time limit so you do not miss the two year window.

A consumer complaint letter kept to one page and sent in a way you can prove is the best first step before any formal case.

Frequently asked questions

Is a complaint letter compulsory before going to a Consumer Commission?

It is not a condition of filing, but a dated letter shows you tried to settle and strengthens your case.

How long should I give the company to reply?

Fifteen days is common. Whatever you choose, state it in the letter.

Should I send the letter by email or post?

Both if the amount matters. Email is quick and leaves a record, and registered post gives proof of delivery.

Can I use AI to write it?

Yes, but check every date, number and name against your documents before sending.

Does the letter need a lawyer?

No. You can write and send it yourself.
